EVV - Status of HHAeXchange and CareBridge Uploads


Checking the status of EVV Visits files sent to HHAeXchange or CareBridge. 

If a file transmitted shows a Status with ERROR, you can select the file to pull up a report that will give you a brief description of errors related to the visit. Error messages that show up on this report come direct from HHAeXchange or CareBridge.

After selecting the error file, those visits not accepted will be marked as available to process from the HHAeXchange File Create again (without selecting Only Previously Sent EVV). You will want to fix any errors from the report before you attempt to re-send to HHAeXchange or CareBridge.

1. From Billing > HIPAA Transactions > HHAeXchange/CareBridge, go to the Status of HHAeXchange and CareBridge Uploads tab.
2. Select the file with the error status.
3. A report will appear with the errors listed. Optional to print. Click on Close. Below is a link that will direct you to a list of common errors with action for provider to take.
4. When viewing the file, Success means the visit was imported to HHAeXchange. This can be a clean visit ready for billing or it could be a visit marked as not billable due to no authorization available for that time frame. 


Error Message
Agency is not linked with Payer = the enrollment process with the MCO has not been completed yet. HHAeXchange or the MCO would have sent you instructions on how to complete, Barnestorm does not have this information. 


Create Report of All Files Sent to HHAX or Errors Only
Run the following steps after viewing the errors and fixing the visit(s) that were rejected. This will mark the rejected visits as available to import again. Fixing the visits may require help from HHAeXchange depending on the error. 
  • Select the Status of HHAeXchange and CareBridge Uploads tab
  • Select either HHAeXchange or CareBridge   
  • Select the Svc Date bullet and change the From and Thru dates to the dates of service to review
  • Select one of the print views: 
  • Print All Details Using this option will show all attempts to send each service date. The report will display the transmit date and the status of the visit, including success or the reason it was rejected.
  • Errors Only  Will print errors only, excluding any that were sent successfully. 
  • Click on Update Accepted Status and Print Report
