Importing from Sandata with 02.34


Important note: for providers who use Sandata EVV, Barnestorm is unable to assist with your Sandata information, processes, or portal. For support on Sandata, contact Sandata. The process below allows you to pull Sandata information into Barnestorm to do billing from Barnestorm. Any issues with the data pulled are not Barnestorm's responsibility, because the information has come from Sandata. So, any billing issues or errors in the data should be investigated with Sandata and NC DHHS. Barnestorm support will not provide phone or chat support for billing imported from Sandata. 

1.  Use the Sandata Portal to pull up the visits you want to import. Ensure that you have already adjudicated these visits in Sandata portal.  
2.  The export contains the information in the Sandata portal that you selected--this is information generated from Sandata, not from Barnestorm.  Specific details on exporting the file here: Export Visits from Sandata
5.  Open Barnestorm.
6.  Go to Reports  > Billing > 02.34. Click on the Validate Visits Versus Sandata Spreadsheets tab.
7.  Click Click the 3 dots next to the file name text box and select the csv file you just downloaded, which is in C:\Barnestorm\Office.
8.  Check the checkbox to Show Validated EVV Visits, Create Visit Charges from Sandata EVV, Include Sandata Errors in Visit Charges.
9.  Click the Validate Charge Visits as EVV button. This imports the visits from Sandata and creates Assessments in Barnestorm from them.  Barnestorm is not responsible for any errors or issues with this data and cannot provide support on this. Please contact Sandata for issues with the data.
10. Go to Employee Activity > Import Visit Charges, which will give you the opportunity to edit before confirming them as charges to be billed. 
11. You can see the imported Charges in Employee Activity > Visit Entry by setting the from and through dates on the bottom half of the screen and clicking Refresh.
12. The only visits that should be keyed are the ones for visits not entered thru the EVV system (for example, for payers that do not require EVV).  Do not key visits that were entered thru the EVV system, as that will create duplicate charges.
13. Create and send billing as usual after importing.
