Text Message and Email using Barnestorm


We've added an exciting enhancement to the communication capabilities in Barnestorm: the ability to send employees text messages and external emails from our Messaging center.  
Note: in order to send text or email messages you will need to make sure the person sending the message has a valid email address setup as well - use the steps from the Setting Up for Texting and Emailing From Barnestorm below. 

Point of Care Users: You will want to make sure you have an internet connection before sending a text or email message.  If you do NOT have a connection, a record will show the text/email as sent but will not get delivered without a connection.  This is different than sending a "Barnestorm Message".  If a Barnestorm Message is sent without a connection, then it will get delivered after syncing Point of Care. 


Setting Up for Texting and Emailing From Barnestorm

**NOTE:  No more than 160 characters per text.
In order to send employees text messages or emails, you'll first need to add their contact information into their employee record in Barnestorm. Here's how:
  1. Ask the employee(s) for their email, cell phone (if you don't already have it), and the company they use for their cell phone provider (like Verizon, AT&T, Sprint, etc.)
  2. Go to Codes > Other Basic Codes > Employees and pull up the employee.
  3. For texting, enter the Cell Phone Number, and check the box 'Accepts Texts'
  4. Use the pulldown to select the employee's cell phone company (this step is essential--we're unable to send texts without this indication). If the employee's cell phone provider isn't listed, you may type in the SMS email for their provider.
  5. For emailing, add the employee's Email Address.
  6. Click the Save button.


Sending a Text Message
Once you've entered the employee's cell phone number and provider, you can send text messages to their phone from Barnestorm.
  1. From the main menu, click Messaging
  2. Create a new message by clicking the New Message button, as usual.
  3. Note the indicators on the right top of the message box. Click the Text Message item.
  4. Enter the employee (only employees who have been set up as instructed above will receive text messages).
  5. The patient is optional.  If included, the patient chart or name will NOT be included in the text.  Only who sent the message, the subject line and the message area. 
  6. Type your message and then click the Send button in the upper left.
  7. Your text message will be sent immediately. 
  8. Any replies to text messages sent this way will go to the sending employee's specified email address. If you need a response in Messaging, use Barnestorm Messaging to send the message.
Note: there is no charge for sending text messages. For the recipients, the text message will be charged according to their texting plan with their cellular provider.

Sending an Email
Once you've entered the employee's email address, you can send them emails, including attachments, from Barnestorm.  To get a report of email listings, go to Reports>Employees>03.56 Employee Email.
  1. From the main menu, click Messaging
  2. Create a new message by clicking the New Message button, as usual.
  3. Note the new indicators on the right top of the message box. Click the Email item.
  4. Enter the employee (only employees who have been set up as instructed above will receive text messages).
  5. The patient is optional, but, if indicated, will be included on the email that is sent.
  6. Type your message.
  7. If you wish to include an attachment, click the Attach button and then select the document to include.
  8. Click the Send button in the upper left.
  9. Your email will be sent immediately to the email address listed for that employee. 
  10. Any replies to emails sent this way will go to the sending employee's specified email address. If you need a response in Messaging, use Barnestorm Messaging to send the message.
