Updating Volunteers Screen

A Point-of-Care user can request a volunteer for a patient within the Visits/Assessments > Volunteers tab or Main Menu > Hospice > Bereavement. They will have the option to notify the office coordinator using Barnestorm messaging once the information is entered. 

The other option is to start adding the information from the Main Menu > Hospice > Bereavement > Volunteers > Assign a Volunteer. 

Once the office coordinator receives the request, they can pull up the Volunteers tab in Barnestorm Office. The 'Patients without Volunteers' will list any volunteer request where the patient does not have a volunteer assigned to them. The coordinator will select a patient from the list, which will redirect them to the 'Assign a Volunteer' tab. The office staff will complete the section under 'Assignment details' select volunteer(s) from the drop-down list. Click on Save when finished. 




Volunteer Visits (requires Barnestorm Cloud) 
You can scan paper visits and upload them to the patient's chart using this tab. 



**Revising Information**


Bereavement > Volunteers tab is mainly used to keep track of the volunteer availability and patient assignments.  This feature is not tied into any other Barnestorm screen, only screens within the Bereavement tab. 

Manage Volunteers

Enter and delete the volunteer personal information in this screen.  You’re able to view the list of volunteers and print them, as needed.   The Print Full List will include the volunteers’availability notes and last TB Test.  The Print Short List will print the same information that shows up on the Manage Volunteers screen.

Availability

Select the volunteer name then click on the Availability button to note when that person is available or not, in addition to extra notes.  Select the date then check the box for Available or Not Available.  Repeat for each date you select. 

Track Volunteer Time

If the volunteer information is linked to a Barnestorm Employee Code (field right above the Availability button), then you can track the volunteer’s time by using the non visit entry screen.

Assign Volunteer

When you click on this button it will take you to the Assign a Volunteer tab.  You can assign a patient to a volunteer or multiple volunteers. Enter the details for the volunteer and the date of the assignment.  Save and print the information, as needed.  

To assign a volunteer to a patient, select the patient at the top of this screen.  Next, towards the middle of the screen you can use the Select a Volunteer drop down to click a volunteer to assign to the patient.  Click on the button Assign Volunteer and the name will be added to the list below the drop down.  

View all Assignment

When you click on this button it takes you to the Volunteer Assignments tab.  You can select a volunteer from the drop down list to view their patient list.  When you select a patient name, it will take you to the Assign a Volunteer screen and show you the detailed information that was entered.

Set TB Reminder

Send yourself, or another employee, a reminder of when the selected volunteer has their next TB due.This is a Messaging window that pops up and you can select the date and time for the message to be sent.  No patient information is needed in order for it to be sent.

TB Test

Enter the date of when the TB is due to expire.  This date will show up when you print the full list of volunteer information or the Print TB List.  It will also automatically be entered in the  Set TB Reminder message as when it expires.

Filter Grid

If you want to view which volunteers are available or not,based on date, check the Filter Grid box.Then check either Available or Not Available and select a date to see a list of volunteers.  This only works if you have filled in the Availability tab for the volunteers.
