EVV - Scheduled Visits in Aide App Do Not Match Barnestorm Office


Sometimes when updating the Aide Care Plan or manually adding visits, key steps can be missed. This may cause scheduled visits to display incorrectly—or not at all—in the aide’s app.

If the Aide Schedule screen in Barnestorm Office shows the correct schedules, you can re-sync them to fix the app view.

Step 1: Check the Aide’s Schedule in Office

  1. Go to Aide Activity > Aide Schedule.
  2. In the Employee field at the top, select the aide.
  3. Review the schedule to make sure it appears correctly.
  4. If schedules are missing, go to the Aide Plan tab and recreate them before proceeding.

🔍 Note: The Sync Schedules tool only syncs scheduled visits, not completed EVV visit records.

Step 2: Re-Sync the Aide’s Schedule

  1. Go to Codes > Other Basic Codes > Employees.
  2. Select the aide with schedule issues.
  3. If they have an active Care Champ account, click the Care Champ Settings button.
  4. Click Sync Schedules and wait for the process to complete.
    • The sync may take several minutes depending on the number of schedules and internet speed.
  5. When the progress bar disappears, the sync is complete.
  6. Ask the aide to check their schedule again in the app.
