07.06 Scheduled Visits versus Visits Made

From the Main Menu in Barnestorm Office click on Reports > Audit > 07.06 Schedules vs Visits.  This report compares the planned visits that were entered in the Schedule screen to the visits that were actually done.

From/Thru = Visit/ Schedule date

Program(s) /Payer(s) / Team(s) / Employee(s) = Filter report by entering program, payer, team, employee number(s). Or leave blank to select all.

Employees to Exclude = Enter the four digit Barnestorm employee code for the employee(s) you want to skip.  Enter multiple codes by separating with as pace or comma.

Match the time = The number of hours difference between the scheduled time and visit.  This will compare the chart number, employee number and date/time.

Match the date and employee only = This DOES NOT compare the time; it compares date and employee only.

Match the date and job code only = This will compare the job code from the visit to the schedule.  This is used when the intended employee does not complete the visit but was moved to another employee(same discipline).  If the schedule was not updated to reflect the correct employee, and this option is selected, then the visit will be skipped if both visit and schedule have the same job code.

Match Schedules to POC Assessment = Check this bullet if your agency uses the Point of Care system for assessments.

Match Schedules to Visit Charges = Check this bullet if your agency does not use Point of Care.

Print Missed Scheduled Visits = Shows entries that had a schedule entry but no visit/assessment entered.

Print All Scheduled Visits = Shows ALL scheduled entries for date(s) selected.

Print Unscheduled Only = Prints patient’s that have visit/assessments entered but did not have a corresponding scheduled visit.

Print Unscheduled Visits/Assessments = Adds the visit/assessment that does not have a corresponding scheduled visit to any of the three options above (automatically checked for Print Unscheduled Only).

Skip Patients With No First Name or RBNA = Skips patients with no first name or where the patient’s status is in Referred, Not Admitted.

Notes in the Comments field:

< Scheduled> means that the comment section of the scheduled visit is blank.

< (text) > fills in the comment section of the scheduled visit.

<Unscheduled> means that the entry showing has a visit/assessment entered but does not have a corresponding schedule.

From the Patient Info screen > Scheduled Vx goes a step further and shows visits scheduled during the previous 14 days as well as future schedules.  If a scheduled visit prior to today has a matching assessment, then it is marked OK and shows the actual time in; if not matched it is marked __.
