Add / Edit / Remove Schedules


The Schedule feature is essential for many of our customers, offering versatile options tailored to your agency's services. With this tool, you can:

  • Create a schedule case load - including the type of visit and length 
  • Set up recurring events
  • Generate weekly schedules (from the aide care plan) for the entire authorized time frame
  • Create non-patient related entries 

Schedules Work With:

  • Starting a visit in Point-of-Care
  • Starting a visit from any of our EVV platforms
  • Mapping out authorized CAP/PCS aide plan of care
  • Reports for tracking the number of hours (or visits) authorized, scheduled, and completed per patient

Main Locations for Adding a Schedule:

  • Barnestorm Office > Employee Activity > Schedules
  • Barnestorm Office > Aide Activity > Aide Schedules
  • Barnestorm Office > Aide Activity > Aide Care Plan > Create Schedules (required for EVV Visits)
  • Point-of-Care > Schedule Calendar
  • Point-of-Care > Select Patient screen

--> Adding Schedules

The following instructions are for Barnestorm Office > Employee Activity > Schedule and POC > Schedule Calendar.

(A) Schedule Entry Tab

  1. Click the Add Schedule Items button.

(B) Day / Week / Month View Tabs

  1. Find the spot on the calendar where you want the appointment to appear.
  2. Mouse over an empty spot for 1 second until the Click to Add indicator appears.
  3. Click the indicator to open the Schedule Editor and create an appointment.

General Instructions for Adding a Schedule

  1. Enter the employee's four-digit Barnestorm code or search by name.
  2. [Optional] Check the box Unassigned if an employee is not assigned to the schedule yet.
  3. Enter the patient’s six-digit chart number or search by name.
  4. The primary payer will show up by default. If the patient has multiple payers, select from the drop-down list.
  5. The employee’s job code will show up by default. Change it if needed.
  6. Enter the three-digit visit status code or search by name.
    • [Optional] Select the visit type from the drop-down list.
  7. Select the date and time in/out to schedule.
    • [Optional] Enter comments regarding the visit. These notes will be visible to Point-of-Care and EVV users when they start the visit.
  8. Click on Save and Close.

--> Setting Up Recurring Appointments

  1. Click the Recurrence button in the Add/Edit Schedule dialog box.
  2. Add a scheduled entry with the same appointment details, repeating daily, weekly, monthly, or yearly.
  3. Specify the frequency and end date for the recurrence and click on Ok then Save and Close.

--> Editing a Schedule

  1. To edit an existing appointment, click it once to select it, then click again to open the Schedule Editor. Alternatively, right-click the appointment and select Edit. * You will need to click the Recurrence button if you are making changes to a line of recurring schedules. Additional saving options will appear.
  2. Make necessary changes and click on Save and Close.
  3. To move appointments, click and drag them to different days or parts of the day. To resize appointments, click it once, then adjust the start and end times by dragging the white box at the top or bottom. Changes are saved automatically.

--> Deleting Schedules

  1. Right-click the appointment and select Remove.
  2. If an assessment has started, a warning will appear to confirm removal.
