How to review and update patients with expired ICD codes.

Overview

Each October 1, ICD-10 codes may expire and need to be updated for accuracy and compliance.Use the Expiring Diagnosis Codes report to identify affected patients, then update their ICD History with the correct effective date and new codes.

Important: Always consult with your clinical team before replacing ICD codes. The correct code selection depends on each patient’s current condition and plan of care.

Steps

  1. Go to Codes > Other Basic Codes > Diagnosis Codes.
  2. Select Print Patients With Expiring Diagnosis Codes to generate the report.
    If no report generates, you can stop here.
  3. Review the list with your clinical/office staff to determine the correct replacement codes for each patient.
  4. Open each patient’s ICD History screen (Patient Histories > ICD History).
  5. In the New Date field, type 10/01/[Current Year] (example: 10/01/2025), then click New Date.
    The system will copy existing codes to the new date.
  6. Update as needed:
    • βž– Remove expiring codes
    • βž• Add replacement codes
    • πŸ”€ Rearrange the order of codes if required
    • TIP: Once you select an expired code it may give updated options.Β 
  7. Click Save All Changes when finished.

Additional Report

Use Print PDGMICD Problems to generate a list of patients who do not have a primary ICD code assigned to a clinical group (Codes > Other Basic Codes > Diagnosis Codes).
